Women’s Environmental Institute (WEI) seeks an Office and Facilities Manager to organize and coordinate office and facility administration duties and steward our farmhouse retreat center, FarmStay accommodations, and classroom facilities. This position maintains a productive, organized work environment, supports all WEI programs with administrative and facilities support, and manages facilities, ensures safety on the WEI campus, and effectively communicates WEI’s mission and values to visitors and guests.
This position is 24-28 hours/week (.6FTE to .7FTE) that can be carried out on site in the WEI office (3 days/week in North Branch) and off-site remotely on a negotiated schedule. One day per week (Mon or Tue in 2025) all staff must be present at WEI for staff meetings. Ideal candidate will be available Fridays on site and approximately two Saturdays per month.

Range of pay: $18-$24 depending on experience
Primary Responsibilities
Develop and manage efficient office systems and procedures, including:Organize and maintain all filing systems, including vendors, staffing and organizational policies
Manage office and employee policy documents
Assist in new hire onboarding
Manage office and administrative supplies as budgeted and needed
Maintain office equipment including printers and projectors
Administer WEI’s Google Workspace, including Drive, email accounts, calendars
Manage office general and administrative expenditures, to ensure accurate and timely reporting
Administer intraoffice accounting system in coordination with WEI bookkeeper, and ensure all purchases are paid on time
Manage logistics and communications with FarmStay/Airbnb and private retreat guests
Maintain WEI Events/FarmStay calendars and report at weekly staff meetings
Manage contract and price negotiations with office vendors and service provider
Maintain accurate Quickbooks EZ clocker hours for payroll (twice monthly)
Manage communications for general WEI email account, office phone, and visitors on siteAdminister WEI’s general information email account and answer office phone
Provide general support to visitors and guests
Provide general support to staff and focused administrative support for Directors
Manage and maintain WEI facilities including WEI retreat center, guest accommodations, and geodesic dome classroom, including:Maintain general cleanliness of WEI retreat center including classrooms, living room, kitchen, conference room and garage
Maintain general cleanliness of WEI guest accommodations
Coordinate with professional facility cleaning vendors for regular deep cleanings of WEI facilities
Manage facilities needs for WEI programs including classes, FarmStay/Airbnb guests, pizza nights on the farm, volunteer work days, and WEI’s annual Will Allen Farmer Training Weekend
Work closely with WEI program managers to ensure facilities needs are met
Manage facility repairs
Required Qualifications and skillsOffice management experience
Proficiency with Google Workplace, Microsoft Office Suite including Excel
Demonstrated excellence in time management, prioritization and project management in a busy environment
Excellent written and verbal communication skills
Strong organizational and planning skills
Creative thinking, positive attitude, good listening and teamwork skills with an ability to contribute to evolving WEI’s mission
